Under the updated DMM 608.11 regulations, a machine-applied postmark now reflects the date your envelope enters an automated regional processing facility. Dropping your tax preparation documents or sales and meals tax filing into a blue collection box in Braintree or Quincy on April 15th no longer guarantees a timely postmark. Mail travels further to reach these regional hubs, meaning it could be stamped the next day. This delay has the potential to trigger late penalties or even increase your risk of IRS auditing.

How to Secure Proof of Mailing

Obtaining a Manual Postmark

If you prefer a free alternative, request a manual postmark (hand-cancel) directly from a retail associate. Present your envelope at the counter, ask them to manually postmark it, and verify that the date stamp is applied in your presence.

  • Skip the Blue Box: Never rely on street-side collection boxes on deadline day.

  • Authorized Private Couriers: The IRS only honors specific services from Designated Private Delivery Services. Qualifying FedEx options include First Overnight, Priority Overnight, Standard Overnight, 2 Day, International Next Flight Out, International Priority, International First, and International Economy. Valid UPS methods are Next Day Air Early AM, Next Day Air, Next Day Air Saver, 2nd Day Air, 2nd Day Air A.M., Worldwide Express Plus, and Worldwide Express.

  • Save Your Receipts: The USPS does not store receipt copies. Keep them in your permanent files alongside your returns.

  • E-File Instead: Electronic filing provides immediate acknowledgment. An EA or IRS Enrolled Agent can handle this securely for you.
